When Event Planning Becomes an Extreme Sport: What It Really Means to Manage an Event

Real stories from behind the scenes of events about why it is not only important to plan an event, but also to manage the unexpected.

Many people imagine event planning as a very romantic and idyllic process: conversations with favorite artists, food tastings, tours of interesting venues... But let’s not forget that event planning is also:

  • The only road leading to the venue flooded overnight by Lithuanian rain

  • Face-to-face meetings with the Lithuanian Police because of excessive noise (7 times)

  • A pavilion torn out by strong winds and flying away with them

  • Personal calls to weather forecasters about tomorrow’s forecast

  • A dome installed the day before the event because of bad weather. The next day the weather is so good that it becomes too hot inside (+34°C), and air conditioners need to be arranged

These are real situations from last summer. How can you avoid them? Sometimes it is simply impossible to avoid them – you have to manage them. And when that is done quickly and precisely, these stories remain only as a reminder that anyone can plan an event. But can everyone manage it?

This is our everyday reality – unexpected situations that require fast and accurate decisions. Everyone has their own kind of adrenaline.

And for you, I want to wish that next summer the things that give you chills are amazing performances, interesting event concepts, and immersive atmospheres – not unexpected organizational challenges. Although for fans of extreme sports, that might actually sound pretty fun... Give it a try!
