Even though summer event season hasn’t started yet, companies are already actively planning winter events. Why is it important to secure key resources early, but leave the event content and concept closer to the actual date?

While most people are already mentally packing their bags for summer, event planners are living in two seasons at once: one foot in a festival, the other in a Christmas party.

And even though summer hasn’t officially begun yet, winter event planning is already in full swing. This year, clients are thinking about the winter season earlier than ever before. That’s exciting. And a little frightening too — because the line between smart preparation and an event that feels outdated before the first snowfall is very thin.

So my advice is simple: book the key components early. Create the content at the right time.

What should you do already now? Reserve the main resources: venue, host, performer, technical production team. The best winter season dates are disappearing fast. The rule is simple — first come, first served.

However, we recommend developing the final event message, program dramaturgy, and concept details around 2–3 months before the event itself. Because a great event should reflect not only the calendar, but also the real emotional state of people: the company’s mood, annual results, team energy, and internal changes.

A winter event is not just a date, a stage, and a dinner. It is a moment of closing the year. And moments like these need precision.

So yes — planning early is a very good idea. The important thing is understanding what should be planned now, and what should be left for the moment when you clearly know what you truly want to say to your people.
